Pure Desire Office Coordinator

Reports to: Clinical Projects Manager & Director of Operations
Hourly Position; Non-exempt
$18 per/hour, 32-35 hours per week

Job Description

This role is the first point of contact for in-person visitors and callers at Pure Desire Ministries. The Office Coordinator will be responsible for client intake, scheduling, and phone reception. Their primary supervisor will be the Director of Operations, but they will also work closely with and under the supervision of the Clinical Director.

Qualifications

  • Excellent problem-solving skills
  • Detail-oriented and comfortable with spreadsheets, data, and CRM systems
  • Friendly and inviting personality, yet efficient
  • Working knowledge of counseling terminology
  • Knowledge of Microsoft Office applications (Word, Excel, PowerPoint)
  • Experience with Google Apps for Business, Google Chrome, and CRM applications a plus
  • Exceptional typing speed (70+ words per minute)
  • Able to multitask and work effectively on several projects simultaneously
  • Capable of excelling in a team-oriented environment
  • Flexible in adjusting and adapting to new projects and requirements as the ministry grows

Responsibilities

Office Manager

  • Front desk reception
  • Answer and route incoming calls
  • Handle all general inquiries
  • Reply or route voicemails from evenings and weekends
  • Perform basic weekly office housekeeping
  • Keep reception area tidy and coffee bar stocked
  • Assist the Executive Director with maintaining all pertinent information and records for PDL Partners

Counseling Department

  • Provide support to the Counseling Project Client Care Coordinator
  • Interview incoming prospective clients prior to scheduling
  • Ensure completion of client intake forms
  • Manually schedule first three appointments for each client
  • Explain office policies and procedures
  • Clarify assessments and evaluation process to prospective clients
  • Create and update client records in Solve360
  • Assist with client invoices
  • Assist in the collection of invoice payments
  • Answer incoming client calls
  • Serve as liaison between client and clinician
  • Clarify and verify consent to release information
  • Communicate with clients via phone and email
  • Perform weekly counseling office housekeeping
  • Assist with IT related requests from clinicians
  • Manage Solve360 records
  • Answer questions from clients with professionalism
  • Input information quickly and accurately from a variety of sources into Solve360
